VAE Privacy Policy

This Privacy Policy explains how VAE LLC ("VAE," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when you use the VAE mobile application, website, and related services (collectively, the "Platform").

Scope of This Policy

This Privacy Policy applies to Audience members, Entertainers, Venue Owners, and other users of VAE.

By using VAE, you acknowledge that you have read this Privacy Policy.

1. Personal Information We Collect

We collect information that you provide directly to VAE, information generated through your use of the Platform, and limited information from service providers that help us operate VAE.

Account and Contact Information

We may collect:

first and last name;

email address;

phone number;

account role;

account credentials; and

other information provided when creating or maintaining an account.

Public profile information may differ from legal identity information. For example:

Audience users may be displayed by first name and last initial;

Entertainers may display a stage name, band name, group name, or act name; and

Venue Owners may display their venue name.

Profile and Listing Information

Depending on your account type, we may collect information such as:

profile descriptions;

entertainer type or performance category;

music genres or performance styles;

venue type;

venue capacity and amenities;

pricing and rates;

availability;

service or venue requirements;

profile photographs;

logos; and

other listing information.

Identity Verification Information

VAE may collect information necessary to verify a user's identity, including:

legal name;

date of birth;

government-issued identification;

photographs or verification images; and

verification status or related information.

Identity verification may be performed using third-party service providers.

VAE does not currently conduct criminal background checks as part of its standard identity-verification process.

Booking and Transaction Information

We collect information associated with bookings made through VAE, including:

booking date and time;

booking duration;

location;

booking price;

services or venue booked;

booking status;

cancellations and rescheduling;

invoices;

approved expenses;

refunds;

payment and payout status; and

transaction history.

Payment Information

Payments and payouts are processed through third-party payment providers, including Stripe.

VAE may receive information associated with those transactions, such as:

payment status;

payout information;

transaction identifiers;

payment method type;

limited payment details;

refunds;

disputes;

chargebacks; and

Stripe account or verification status.

VAE does not generally store full payment-card numbers or card security codes when those details are collected directly by Stripe.

Tax Information

VAE does not currently require a Social Security Number as part of standard account onboarding.

When required for tax reporting, payment processing, or legal compliance, VAE or Stripe may request information such as:

Social Security Number;

Employer Identification Number;

other Taxpayer Identification Number;

legal name; and

tax address.

Messages and Communications

We may collect communications made through VAE, including:

messages between Users;

communications with VAE Support;

information submitted in disputes or reports; and

photographs, receipts, or other materials shared through messaging or support features.

Photos, Videos and Media

Entertainers and Venue Owners may upload photographs, videos, logos, and other media to their profiles or galleries.

We collect and store this content to provide the applicable Platform features.

Ratings and Reviews

We collect ratings, reviews, and related information submitted through VAE.

Location Information

VAE may collect or process location information when needed to provide location-based features.

This may include:

an address or location selected by a User;

city, state, or postal-code information;

latitude and longitude associated with a selected location;

approximate location derived from technical information; and

device location when a User chooses to use a current-location feature and provides the necessary permission.

Search-location information may be used to provide search and distance-based results.

Device and Push Notification Information

When push notifications are enabled, VAE may collect information necessary to deliver notifications, including:

device identifiers;

push-notification tokens;

operating system;

application version; and

notification preferences.

Technical and Usage Information

When you use VAE, we may automatically receive technical information such as:

IP address;

device or browser type;

operating system;

application version;

language or regional settings;

crash or diagnostic information;

login activity; and

information about how Platform features are used.

Information From Third Parties

We may receive information from third-party service providers used to operate VAE, including payment, identity-verification, mapping, authentication, hosting, and notification providers.

2. How We Use Personal Information

We may use personal information to:

create and maintain VAE accounts;

operate and provide Platform features;

verify identities;

create and display profiles and listings;

connect Audience members, Entertainers, and Venue Owners;

provide location and radius-search functionality;

facilitate bookings;

process invoices, payments, payouts, refunds, and disputes;

deliver booking and account notifications;

provide customer support;

investigate complaints, fraud, safety concerns, and policy violations;

prevent unauthorized or fraudulent activity;

maintain the security and integrity of VAE;

administer ratings and reviews;

maintain transaction and booking records;

comply with tax, financial, legal, and regulatory obligations;

enforce VAE's Terms of Service and policies;

troubleshoot and improve Platform performance;

understand how VAE features are used; and

communicate important information regarding accounts, bookings, policies, or Platform changes.

We may also use information for other purposes disclosed to you when the information is collected or where permitted by applicable law.

3. How Information Is Shared With Other Users

VAE is a marketplace, so certain information must be shared with other Users for the Platform to function.

Depending on your account type and the applicable booking, other Users may see information such as:

public profile name;

profile photograph or logo;

entertainer or venue description;

genres, categories, rates, or venue details;

public media;

ratings and reviews;

approximate or disclosed service location;

availability; and

booking-related information necessary to complete a transaction.

How location is shared depends on account type. A Venue Owner represents a public venue, so a venue's address may be shown publicly—including on public venue listings and, where that feature is available, to signed-out visitors. By contrast, an Audience member's private-event address (for example, the location for hiring an entertainer for a private event) is not presented as a public community listing; it is shared only through the applicable booking and service workflow and with Users authorized to see it in order to complete or support the booking.

Private identity-verification information is not intended to be publicly displayed merely because it was provided to VAE for verification.

When Users enter into a booking, additional information may be shared when reasonably necessary to complete the booking, address a dispute, or protect the safety of the parties.

4. How We Share Information With Service Providers

VAE may disclose personal information to service providers that perform functions on our behalf.

These may include providers supporting:

cloud hosting and database services;

payment processing and payouts;

identity verification;

authentication;

file and media storage;

mapping and location services;

push notifications;

email or communications;

fraud prevention;

analytics and diagnostics;

customer support; and

technical infrastructure.

These providers may process information according to their own applicable privacy terms and contractual obligations.

5. Specific Third-Party Services

VAE currently uses or may use services including:

Stripe

Stripe provides payment processing, connected-account, payout, identity, tax-reporting, and related financial services where applicable.

Information submitted to Stripe is also subject to Stripe's privacy practices.

Supabase

VAE uses Supabase infrastructure for Platform services such as authentication, databases, storage, and backend functionality.

Google Services

VAE may use Google services, including location and address-search functionality, to provide mapping or location-related features.

Firebase

VAE may use Firebase services to support mobile functionality such as push notifications and related device registration.

Other providers may be added or replaced as VAE develops.

6. Legal and Safety Disclosures

VAE may disclose information where reasonably necessary to:

comply with applicable law, court orders, subpoenas, or legal process;

respond to lawful requests from government or law-enforcement authorities;

enforce VAE's Terms of Service;

investigate fraud or suspected illegal activity;

investigate safety incidents or policy violations;

protect the rights, safety, or property of VAE, its Users, or third parties;

prevent abuse or misuse of the Platform; or

establish, exercise, or defend legal claims.

7. Business Transfers

If VAE is involved in a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, or similar corporate transaction, personal information may be disclosed or transferred as part of that transaction, subject to applicable law.

8. Data Retention

VAE retains personal information for as long as reasonably necessary to:

maintain an active account;

provide Platform services;

complete and document bookings and transactions;

process payments and tax obligations;

resolve disputes;

prevent fraud and abuse;

maintain security;

comply with legal or regulatory requirements; and

establish or defend legal claims.

When information is no longer reasonably necessary, VAE may delete or de-identify it, subject to applicable legal and operational requirements.

Closing or deleting an account does not necessarily result in immediate deletion of every record associated with that account.

For example, VAE may retain information concerning completed transactions, payments, invoices, disputes, fraud prevention, tax obligations, safety incidents, or other matters where continued retention is reasonably necessary or legally required.

After an account is closed, VAE may retain limited identifying and contact information—such as a name, email address, phone number, and address—and payment-processor reference identifiers when reasonably necessary to resolve payments or payouts, maintain tax or accounting records, address disputes, investigate fraud or safety concerns, enforce VAE's agreements, or comply with legal obligations.

Access to this information is restricted. Retained information is not used to restore the deleted account or provide continued access to the Services.

After an account is deleted or anonymized, a non-identifying label such as “Deleted User” (or an equivalent placeholder) may remain where needed to keep associated records intact—for example, historical bookings, conversations, invoices and financial records, reviews, moderation history, or other records VAE is required or permitted to retain. This placeholder does not make the deleted person's original profile, contact information, or other identifying information publicly available.

9. Account Deletion and Privacy Requests

Depending on applicable law, Users may have rights to:

access personal information;

obtain information about how their data is collected and used;

correct inaccurate information;

request deletion of eligible personal information;

obtain a portable copy of certain information;

opt out of certain processing where required by law; and

exercise privacy rights without unlawful discrimination.

VAE may verify the identity of a person submitting a privacy request before processing it.

Certain information may not be deleted where retention is reasonably necessary or permitted by law, including for:

completed financial transactions;

fraud prevention;

security;

tax and accounting obligations;

disputes;

legal claims; or

compliance with legal obligations.

Deletion of information necessary to operate an account may require closure or deactivation of that account.

A request to delete or close an account may also be delayed or prevented while related matters remain unresolved—for example, active or upcoming bookings, outstanding invoices or payment obligations, disputes, pending payouts or settlements, or applicable legal, financial, safety, moderation, or retention holds. This preserves existing obligations and the records VAE is required or permitted to keep; it does not authorize unrelated continued use of the marketplace while the account is being closed.

Deleting your account directly in the app. The primary way to delete a VAE account is inside the VAE app, through Settings → Privacy & Security → Delete Account. The app guides you through any requirements that must be resolved first and asks you to confirm the request before it is submitted. Step-by-step instructions are available on VAE's Account Deletion page.

Privacy Requests alternative. Users who cannot access the app, or who wish to make another type of privacy request, may use the Privacy Requests route instead. Privacy requests may be submitted through VAE Support or:
support@vaemediasolutions.com

Users may also submit privacy requests directly in the VAE app through Settings → Privacy Requests. VAE may use the email address associated with the account to communicate about a request and may provide a reference number for tracking. Privacy requests are reviewed and fulfilled through VAE's privacy and Support process. Submitting a request does not automatically generate an immediate or self-service downloadable archive.

10. California Privacy Rights

California residents may have additional rights under the California Consumer Privacy Act, as amended, where that law applies to VAE.

These rights may include the right to:

know what categories and specific pieces of personal information VAE collects;

know the sources and purposes associated with collection;

request deletion of eligible personal information;

request correction of inaccurate personal information;

obtain information regarding certain disclosures of personal information;

opt out of the sale or sharing of personal information where applicable;

limit certain uses of sensitive personal information where applicable; and

exercise applicable rights without unlawful discrimination.

VAE will respond to verified requests as required by applicable law.

Sale or Sharing of Personal Information

VAE does not currently intend to sell personal information for monetary compensation.

However, privacy laws may define terms such as "sell" or "share" more broadly than an ordinary sale.

If VAE engages in activities that constitute a sale or sharing under applicable law, VAE will provide any notices and opt-out mechanisms required by that law.

11. Other U.S. State Privacy Rights

Residents of certain U.S. states may have additional privacy rights under applicable state law.

Where applicable, VAE will provide and honor rights required by those laws, which may include access, correction, deletion, portability, and certain opt-out rights.

12. Location Information

VAE uses location information to provide features such as:

local search;

radius-based search results;

displaying relevant entertainers or venues; and

facilitating bookings at agreed locations.

Where device-level location permission is required, Users can generally manage that permission through their device settings.

Disabling location access may prevent certain VAE features from functioning properly.

VAE does not intend to use transient search-location coordinates for unrelated purposes when those coordinates are collected solely to provide a User-requested search.

13. Communications and Notifications

VAE may send Users transactional communications relating to:

account activity;

identity or account verification;

bookings;

messages;

invoices and payments;

cancellations;

disputes;

safety issues;

support requests; and

material changes to VAE services or policies.

Users may also receive push notifications where enabled.

Today, VAE communicates primarily within the application and through push notifications where you have enabled them. VAE may also use email for necessary support, legal, account, or transactional messages where that is supported through its existing operational tools.

Users may control certain notification permissions through their device or available VAE settings.

Transactional or legally required communications may still be sent when reasonably necessary even if optional promotional communications are disabled.

14. Marketing Communications

VAE does not currently operate a promotional or marketing email program.

If VAE introduces promotional or marketing communications in the future, it will provide the choices required by applicable law, including a way to unsubscribe, before those communications begin.

Opting out of any promotional communications would not prevent VAE from sending transactional, account, safety, or legally required communications.

VAE does not track users across other companies' apps or websites for advertising, and does not use an advertising identifier.

15. Data Security

VAE uses administrative, technical, and organizational safeguards designed to protect personal information.

However, no online service, database, transmission method, or storage system can be guaranteed to be completely secure.

Users are responsible for protecting their account credentials and should notify VAE promptly if they suspect unauthorized access to their account.

16. Children

VAE is not intended for children under 13 years of age, and VAE does not knowingly intend to collect personal information directly from children under 13.

If VAE learns that personal information has been collected from a child under 13 in circumstances requiring parental consent and such consent has not been obtained, VAE will take reasonable steps to delete the information as required by applicable law.

Additional minimum-age requirements may apply to creating an account, entering contracts, providing entertainment services, renting venues, or using payment features.

17. Third-Party Links

VAE may contain links to websites or services operated by third parties.

VAE is not responsible for the privacy practices of third-party websites or services that VAE does not control.

Users should review the applicable privacy policies of those services before providing information to them.

18. International Users and Data Transfers

VAE's services and service providers may process or store information in the United States and potentially other jurisdictions.

If VAE expands its services to jurisdictions requiring additional international data-transfer safeguards or privacy disclosures, VAE will implement applicable protections as required by law.

19. Changes to This Privacy Policy

VAE may update this Privacy Policy from time to time as the Platform, technology, service providers, or legal requirements change.

When material changes are made, VAE may provide notice through the Platform, email, or another reasonable method where required by law.

The updated Privacy Policy will identify its effective or last-updated date.

Version History
