Common Questions
VAE gives Venue Owners an easy way to manage entertainment and venue rentals in one place. You can find and book Entertainers for your venue and make your venue available for rental to Audience users.
Once a booking is accepted, VAE helps keep booking details, communication, invoicing, payments, and booking history organized in one place.
You can make your venue available for rental by creating availability for the dates and times you are willing to host events. You can also build out your venue profile with important details, photos, and other information, and link your social media accounts to give users a better look at your venue.
Audience users can then search for your venue and submit a booking based on the information, availability, pricing, and venue details you provide.
Once a venue rental is confirmed, you can communicate directly with the other user through VAE messaging to coordinate access, timing, setup requirements, venue rules, and other event details.
After you complete the onboarding process, the VAE Support Team reviews the information and documentation you submitted to help confirm that your account and venue information are accurate.
Please allow approximately 24–48 hours for the review process. While your account is being reviewed, you can continue building your profile, adding information about your venue, and updating your preferences.
Until your account has been approved, you will not be able to post new availability or accept booking requests.
Payments on VAE are securely processed through Stripe.
Venue Owners do not need to exchange payment or banking information directly with other users. If you rent your venue through VAE, your payout information is set up and managed through the payment setup process within VAE and Stripe.
When you are booking an Entertainer, payment is processed securely through VAE. When you are receiving payment for a venue rental, VAE will initiate the payment to your connected payout account through Stripe once the booking has been completed and the applicable payment has been approved or processed.
Yes. VAE includes direct messaging so you can communicate with Entertainers and Audience users about your bookings.
You can use the VAE direct messenger to discuss important details such as event timing, venue access, setup requirements, equipment, capacity, arrival instructions, special requests, or any other information needed for the booking.
Keeping booking-related communication within VAE also helps maintain a clear record of the details discussed between both users.
If you can no longer accommodate a booking as scheduled, you should notify the other user and submit a cancellation or rescheduling request through VAE as soon as possible.
For a reschedule, both users should agree to the updated booking details before the change is finalized.
Cancellations may be subject to VAE’s cancellation policy depending on when the cancellation occurs, your role in the booking, and the circumstances of the booking. Whenever possible, provide as much notice as you can so the other user has time to make alternative arrangements.
If another user cancels a confirmed booking, VAE’s cancellation policy determines how the cancellation and any applicable refund or compensation are handled.
If an Audience user cancels a confirmed venue rental, the cancellation policy is designed to help protect Venue Owners who have reserved their venue and may have turned down other opportunities for that date.
For customer cancellations:
- 24 hours or more before the scheduled start time: The customer receives a full refund.
- Less than 24 hours before the scheduled start time: 50% of the booking amount is non-refundable and may be paid to the Venue Owner, subject to applicable VAE fees, payment-processing fees, refunds, or adjustments.
- For an hourly-rate booking, the cancellation amount is 50% of the estimated booking amount, capped at the equivalent of two hours at the agreed hourly rate.
- Exception — Last-Minute Bookings: If the booking was made less than 24 hours before the scheduled start time, the Booking Customer may cancel without a cancellation charge.
- No-Show: 100% of the booking amount is non-refundable and may be paid to the Venue Owner, subject to applicable VAE fees, payment-processing fees, refunds, or adjustments.
If you are the customer who booked an Entertainer, the applicable cancellation terms for that Entertainer booking will apply.
You will be able to review the cancellation details through the VAE app, and you can always contact VAE Support if you believe a cancellation was handled incorrectly.
If you experience a problem with a booking, venue rental, invoice, payment, cancellation, or another user, please contact VAE Support as soon as possible.
When contacting Support, provide as much relevant information as you can. This may include the event date and time, venue location, other user’s name, booking messages, photographs, receipts, screenshots, or other documentation related to the issue.
